Understand How You Can Use Our Website and Services

1. Protecting your Privacy

MindScope Psychotherapy is committed to protecting your privacy when handling your personal information. Our full Privacy Policy can be viewed here.

These Terms of Service set out your rights and obligations, and explain how MindScope Psychotherapy collects, uses, and safeguards your data. If you have any questions about how we handle your information, please contact us at contact@mindscopepsychotherapy.com.

 

By booking an appointment, completing a registration form, or otherwise engaging our services, you confirm that you have read, understood, and agree to be bound by these Terms of Service.

2. Client Responsibilities Before Attending an Appointment

By booking an appointment, you agree to complete the following:

 

  • To complete a Client Registration Form prior to your appointment and send this back to us in a timely manner. ​Your appointment cannot go ahead until this information is received from you, completed in full.​

  • Where applicable, please ensure that you have included details of your insurer, your membership number and any authorisation codes within the Client Registration Form if you would like us to make any claim on your behalf. If any of this information is missing, you may be liable to settle this fee with us directly.​

  • You agree to complete and return to us before the appointment date all the appointment related forms that MindScope Psychotherapy sent to you that the Practitioner will need to carry out your assessment effectively.​

  • You agree to our payment and cancellation policies.​

3. Services, Fees, and Payment Terms

3.1 Payment Terms

Self-funding clients: Payment must be made in full at least 48 hours before your appointment. Initial consultations require full payment at the time of booking.

Insurance clients: You must provide your insurer details, membership number, and authorisation code in advance of your appointment.

Any excess must be paid before the first session.

You are responsible for any shortfall where your insurer does not pay the full fee.

You must notify us of policy changes and approved session limits.

Payment methods: We accept card payments (processed securely via Wix Payments) and, for some clinicians, bank transfers.

Outstanding balances: Balances unpaid after 30 days without prior arrangement may be passed to a collection agency and may also be recovered through legal proceedings or debt collection agencies.

3.2 Payment Methods

We accept the following payment methods:

  • Bank transfer – If paying by bank transfer, the full amount must be received in advance to secure your booking.

  • Stripe payments – Secure online card payments can be made via Stripe.

  • Cash – Cash payments are accepted for in-person appointments only and must be made before the start of the session.​​

4. Cancellation, Late Arrival, and Missed Appointments

If you are unable to attend your appointment, you agree to let us know at the earliest opportunity. MindScope Psychotherapy operates a 48-hour cancellation policy. If you wish to cancel your appointment, you must email us at least 48 hours before the appointment scheduled time and you will not be charged for this appointment.

Bookings made less than 48 hours before the scheduled appointment time will not be eligible for any refunds.

Any cancellations made with less than 48 hours’ notice will be fully charged at 100% of the appointment fee and the client will not be eligible for any refund.

4.1 Late Policy

To provide the best possible service to all our clients, MindScope Psychotherapy asks you to contact us if you are unable to attend your appointment on time so we can make all necessary arrangements to ensure the appointment can still go ahead. MindScope Psychotherapy will try to accommodate you as best as we can, but you may be asked to reschedule your appointment or wait for a later available slot so that this does not disrupt the remaining appointments scheduled that day.

 

4.2 Failure to attend

If you are more than 15 minutes late for your appointment without prior agreement, or fail to attend, the appointment will be deemed missed, and you will not be eligible for a refund of any prepayment or deposit.

5. Refund Policy

Refunds, where applicable, can only be made to the card originally used for the booking. MindScope Psychotherapy will process approved refunds without undue delay; however, it may take up to 10 working days for the refund to appear on your statement, depending on your bank. MindScope Psychotherapy is not responsible for this timeframe and advises you to check with your bank or card provider if there is a delay.

6. Virtual Appointments

All appointments at the current time will be conducted by video call, telephone call or instant messaging. To ensure this works smoothly, MindScope Psychotherapy requires you to confirm your preferred method of contact e.g., Microsoft Teams, Zoom or secure messaging in advance of your next appointment.

 

Please login to your preferred method of contact at the time of your appointment on a desktop or your phone and your therapist or clinician will begin the session.

7. Assessment Letters and Reports

MindScope Psychotherapy will provide you with an assessment letter if you have chosen to engage with the service 'Assessment Consultation with Report'. MindScope Psychotherapy guarantees to provide this assessment letter within 1 week following the initial assessment appointment date. Any other appointments will usually not include a letter or report and it will be determined by your therapist whether this is provided or not. Any letters, reports or other documentation requested by the client after the initial assessment will be charged as an additional cost.

8. Declaration and Agreement to Terms

By booking an appointment with MindScope Psychotherapy you confirm:

The information provided is, to the best of your knowledge, accurate and complete. You are required to complete a Client Registration Form prior to your appointment.


You understand that where your appointment is with one of our practitioners, they are directly liable for the care they provide you.


You understand that by booking an appointment online, MindScope Psychotherapy may contact you using the details you have provided to discuss your care or appointment booking. This may be from a MindScope Psychotherapy clinician, or a relevant medical secretary involved in booking appointments.

9. Zero Tolerance Policy

MindScope Psychotherapy is committed to providing a high quality of care for our clients. The welfare of both clients and staff relies on establishing a good relationship between all parties. Therefore, to protect both the clinicians and clients, MindScope Psychotherapy respectfully highlights the following inappropriate behaviours that will not be tolerated:

  • Swearing

  • Threatening or abusive behaviour

  • Intoxication

  • Verbal or physical abuse

  • Inappropriate advances to our staff
     

MindScope Psychotherapy has a zero-tolerance policy towards such behaviour, particularly threatening or violent behaviour towards anyone associated with our Services. MindScope Psychotherapy reserves the right to terminate an appointment (and call for police assistance if deemed necessary) with anyone behaving in such a manner and we reserve the right to permanently withdraw services in such cases.

10. Data Protection and Privacy

MindScope Psychotherapy collects and processes personal data from all of our clients. Please refer to our Privacy Policy for further information. Our Privacy Policy forms part of these Terms of Service.​

11. Jurisdiction Clause

These Terms of Service are governed by and construed in accordance with the laws of Scotland. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.
